We didn’t have an email welcome series when I joined Food for the Hungry. It was one of the more frustrating things to put into place. Why? Our donation management system didn’t integrate with our email system. The email management system’s automation tools were challenging and not reliable. We relied on exporting email lists from one system and importing them into the other for every email send. It took two years to get a single welcome email in place – and that was only accomplished by manually importing lists of new donors each week. A year later, we migrated to a more robust marketing platform and hired a firm to build an API connection between our donation management system and the marketing platform. Now we were ready to implement an email welcome series! But were we? We needed a plan. With multiple audiences (new leads, single gift donors, monthly donors), we needed more than one welcome series and needed something that took the recipient through a journey to accomplish something. We took a pad of post-it notes and started outlining the email journey for a new subscriber. This journey became a foundation for increasing second gift conversions, reducing donor attrition, and converting more leads into donors. Can we talk about the "F-word"? Yep, you guessed it… “Friend” The quickest way to let your donor know that you don’t actually know them is by starting your email with “Dear friend.” Here's the deal... Your donors aren't just friends; they're champions, partners, and advocates for your cause. They're the backbone of your organization, fueling your mission with their generosity and belief in your work. Why stick with a generic label when they deserve so much more? An easy fix? Nearly every email tool on the market today allows you to insert the recipient's first name. (If your tool doesn't, you need a new tool.) And guess what? When we call our donors by name, our email performance improves! In an experiment, one organization wondered if they could improve their email response by calling the donor by their first name. 🧐 The result? Personalizing the email led to a 270% increase in clicks!💥 So, we suggest you try to avoid the "F-word" in your emails. Low donor retention? It might be because you're not talking 𝒘𝒊𝒕𝒉 your donors. 🤔 Most low-retention organizations fall into the trap of one-way communication. They send out emails, updates, and appeals but never encourage real, two-way conversations. High-retention organizations? They do things differently: 👉 They ask their donors to hit reply. 👉 They create genuine, human conversations. 👉 They use plain-text, personal emails that feel like they’re coming from a friend, not a brand. Think about it: How often do you respond to a flashy marketing email? Probably not much. But a personal note from someone who genuinely wants to connect? 𝐓𝐡𝐚𝐭 𝐠𝐞𝐭𝐬 𝐲𝐨𝐮𝐫 𝐚𝐭𝐭𝐞𝐧𝐭𝐢𝐨𝐧. When you make your communication feel real and invite responses, you build trust. And trust is the foundation of donor retention. Here’s the reality: Organizations that engage in these real, human interactions are more likely to see higher retention rates. And those that don’t?
